The A/R Connection system is designed to automate the process of connecting with your customers to alert them to past due bills. You can choose the method, the frequency as well as the "tone" of your message. - Methods include e-mail, phone, fax and regular mail.
- Choose how often you want to contact your customers and the method in which to contact them.
- Use templates or create your own messages in the phrasing you choose.

The Setup area lists the default information that is used to generate your messages.- Age of A/R: The age of accounts receivable will affect how you wish to reach your customers and the specific language or "tone" used in your messages, as well as how often you wish to send these messages .
- For each of the date ranges that represents this period of time, select the "Message Type" (call, e-mail, fax or letter).
- Then choose or create a template.
- Choose the frequency of the message.
Note: When your "A/R Aging Report" is uploaded from your accounting software, A/R Connection will match the message, set up by the age of the oldest receivable the customer has outstanding. |

Customize or Create Templates |
Flexibility is the key to the system:
The text editor includes drop down fields, to insert details into the template.
- Craft your message templates, to encourage your customers to make payments that are due.
- Use any of 19 tags for commonly used, universal fields, where the system will pull in relevant information on each individual customer.
- Automatically include fields such as customer name, dollar amount due, amount of time item has been due, etc.

Upload Your Account Aging Report |
Run a report from your accounting software, listing your past due customers. Then...
- Click on the Browse button and select the A/R Aging Report that you exported and saved to your PC.
- Upload this report file to your A/R Connection software.
(Once the file is uploaded, a message will appear, indicating whether the upload was successfully completed.) |

Edit or Add Individual Messages |

Occasionally, you may wish to edit individual messages that differ from your templates.
- Choose an existing customer message to edit. (The editor type will automatically match the way the original message was created.)
- If a voice message was created using “Text to Speech” the text to speech editor will appear
- If you recorded by PC the RECORD on PC interface will appear and you can record an individual message.
- If a letter is being edited, the word possessor interface will appear.
Note: Saved changes will be saved under a new file name and will only affect this individual message.

The PENDING area lists the repeat voice messages and e-mails that are scheduled to go out.
- Scheduled calls and e-mails can easily be canceled by deleting them. To delete one or more calls or e-mails, check the box in the Select column and then click Delete.
- You can also view the number of times that a message was previously sent to a company. Adjust the date range, to view various time spans.

Run a variety of reports. Each report offers a different perspective as to what activities are taking place within the multiple features of the system.
- Select the date range the report should cover. (Dates can be selected either by typing in the dates or by clicking on the calendar.)
- Next select the report type, in the right column and click on the Run Report button.
- Once a report is produced, it can either be saved (PDF), exported (CSV), or printed.
